A pre-training guide to learning online through ZOOM with Protective Behaviours Training Partnership

We look forward to meeting you ‘virtually’ and thought it might feel helpful to acknowledge that many of us are still adapting to working online. During the training session, you may want to use a variety of interactive Zoom features. Here is a brief guide to joining us online:

1. Select a location with good light that feels comfortable for you and has a table at a good height for you to position your device on for viewing, so you don’t have to hold it. If others are in the house, perhaps choose a location that is quieter so you can focus on the session..

2. Choose a device (computer, Ipad or smart phone) and have the device fully charged or plugged in and connected to the internet. Close everything on your device that is not essential. Position your webcam (should you choose to use one) so we can see you as you woud like to be seen.

4. There are different ways to join the meeting depending on how it was set up and shared. The link will either be on the Eventbrite Online Event Page (linked-to from Eventbrite ticket confirmation), or if Zoom registration was necessary it will be found in your Zoom confirmation email. You can also join via the Zoom app by clicking JOIN and adding the meeting ID and password if it has been made available.

5. Waiting Room: the Waiting Room is just like it sounds.  It’s a virtual staging area that prevents people from joining a meeting until the host is ready. The host will admit participants either as a whole group or by individual participants. This is a security enhancement by Zoom to protect from “zoom bombing” (uninvited guests whose purpose is to disrupt the meeting).

6. Tips to get the best from online training sessions:

  • Mute your microphone when not speaking
    When your microphone is not muted, try to avoid activities that could create additional noise, like shuffling papers, eating or drinking.

  • More than one person accessing the same meeting from the same room on different devices is best avoided
    This will likely lead to distracting echo and feedback effects - wearing headsets is better but still not ideal as speech into one microphone will be picked up by the other(s) and create echos. In such cases it may be better to share one screen/mic/camera (please change the Name that displays in Zoom to reflect multiple participants)

  • Position your camera properly
    If you choose to use a web camera, be sure it is in a stable position and focused at eye level, if possible. This helps create a more direct sense of engagement with other participants.

  • Try to limit distractions
    You can make it easier to focus on the session by turning off notifications, closing or minimizing running apps, and muting your smartphone.

  • Try not speak when others are speaking.
    It’s important we all have time to talk. Use the Raise the Hand feature (on smart phones) or physically raise your hand for acknowledgement (on computers your video photo will display your face and hand).

  • Use the Chat feature to make a comment or ask a question
    This is useful particularly when the host is presenting, or a video or PowerPoint is playing. You can do this whenever you need to – also to communicate with the host if you have a problem.

  • Please do not record the meeting.
